Who This Handbook is For
This guide is intended for account administrators involved in setting up and configuring your Myma.ai account. It is designed to walk you through the initial setup of users and roles, ensuring that the right team members have the appropriate access and responsibilities within the platform.
This handbook should be used during onboarding or any time you need to update team access or responsibilities.
Purpose
Efficiently manage user access by setting up and assigning roles to control permissions and responsibilities within your organization.
To access this page, go into Settings and click on Users & Roles
Using the Users & Roles Screen
From this screen, you can:
Create users
Resend user invitations
Assign roles to users
Reset user passwords
View logs of user and role changes
User Management Best Practices
Assign Knowledge Hub access only to users who will be updating property information.
Ensure team members monitoring guest conversations are set up with proper permissions.
If you have staff handling live chat, make sure they are assigned the Agent role to accept chats.
Avoid giving admin rights to all users. Limit this to key decision-makers or project leads.
User Role Types
Admin
Full access, including the ability to manage users.
Ideal for project champions or department heads responsible for overseeing and updating property data.
Knowledge Manager
Full platform access, excluding user management.
Ideal for team members responsible for maintaining the Knowledge Hub.
Agent
Can only view the Unified Inbox and manage conversations and tickets.
Ideal for frontline staff, such as Front Office Agents or Reservation Agents, who are responsible for handling guest inquiries and live chat.
Required Information to Create a User
To add a new user, you'll need:
First Name
Last Name
Email Address
Phone Number (optional)
Myma.ai provides OpenID based SSO option that allows Myma.ai Dashboard to connect to an IdP and provide SSO for your users. Read more here.
